Import guests from a file

If you have many guests, you don't need to add them one by one. Download the template, fill it in, and upload it — Invitio takes care of the rest.

Step 1 — Download the template

Go to the Guests section in your event dashboard and look for the Import guests button. From there you can download the official template in Excel format (.xlsx).

Always use this template — don't create your own file or copy the data into another format.

Step 2 — Fill in the template

Complete one row per guest with their name, number of adult passes, number of child passes, and phone number with country code.

When you're done, save the file without changing the name or format.

Step 3 — Upload the file

Go back to the Guests section, click Import guests, I already have the template, and select the file you filled in. Invitio will read the template and create all guests automatically.

Once imported, you'll see them in your list and can edit any details if needed.

Don't change column names or add new columns. If you alter the template structure, the import will fail.
Don't leave cells empty. If a guest has no children, enter 0 in that cell — don't leave it blank. The same applies to any other field.
When entering the phone number, include the country code without the + sign. For example, for Mexico write 521 followed by the number, not +521.

Can I import multiple times?

Yes. If you need to add more guests later, you can import again with a new template. Invitio will add the new guests without deleting the ones you already had.

Is your list in WhatsApp, notes, or on paper? Transfer it to the template carefully first, check that no cell is empty, and then import. A few minutes of review saves corrections later.

Send invitations automatically

Your guest list is ready — now it's time to send their invitations. Doing it manually can be a headache, so we offer automatic invitation sending. Check the next section on automatic sending.
