WhatsApp templates
To send bulk messages on WhatsApp, Meta requires pre-approved content. Here we explain what a template is, how to create one from Invitio, and what to expect from the review process.
What is a template?
A template is a fixed-format message that Meta reviews and authorizes before you can send it in bulk. You can't send free-form text via WhatsApp Business API: every automated message must follow an approved template.
Templates can include variables like the guest's name, event date, or time, which Invitio fills in automatically for each person. The base text, however, always stays the same and can't be changed once approved.
Once approved, the template is available to use as many times as you need in any send from Invitio.
Where do I create a template?
You can create a template from two places in Invitio: from WhatsApp Integration in the side panel, or from Send invitations if you don't have any approved yet.
In both cases you'll see the Create template button and your linked WhatsApp Business number. When you click, Invitio opens the form with a sample template already loaded that you can edit before submitting for review.

The 4 form sections
When creating a template you'll find four sections. On the right you'll always see a live preview of how the message will look on the guest's phone.
Complete each section
Fill in the sections in order. The preview on the right updates as you type.
Basic information
Give your template a descriptive name (max. 80 characters, no spaces), choose the category — we recommend Utility — and select the language.

Header (optional)
The header appears in bold above the message body. You can leave it empty or write a short title like Event invitation. Max. 60 characters and supports one variable if you choose to use it.

Message body
This is the main message text. You can insert variables like Guest name, Date, Time, or Total guests using the chips below the editor — Invitio replaces them automatically when sending.
Write naturally: Meta evaluates the full purpose of the message, not individual words.

Footer and buttons
The footer is optional and appears in small text at the bottom (max. 60 characters). The quick reply button is required — by default it says View invitation and links to your digital invitation.
You can also enable a second button for one-tap RSVP confirmation. Its text can't duplicate the first button and has a 25-character limit.

Submit for review and wait for approval
When you finish the form, click Create template. Invitio automatically submits it to Meta for review.
The process usually takes from a few minutes to 24 hours. Meanwhile the template will show as Pending and you won't be able to use it for sends.
Once Meta approves it you'll see Approved status and can select it from Send invitations.

If Meta rejects or reclassifies your template
Meta may reject a template if the content doesn't meet its policies, or reclassify it to a different category than you chose. It's not common, but it can happen.
If that happens, we'll notify you so you can adjust it and submit again for review.
Once approved, the template isn't editable. If you need to change the base text you'll have to create a new one — variables like name or date are still personalized automatically on each send.
