Invite and manage collaborators
Add people to your event team — your planner, assistant, vendors, or the client — set their role and permissions, and update access anytime, even before they accept the invitation.
Invite a new collaborator
Open Collaborators
In your event panel, go to the Collaborators section from the side menu.
Tap Invite
Enter the person's email address. They'll receive an invitation to join your event team.
Choose a role
Pick Administrator, Editor, or Reader. Each role comes with suggested permissions you can customize.
Adjust permissions
Open the Collaborator permissions section. Toggle each event section on or off, and choose View, Create, Edit, or Delete as needed.
Send the invitation
When they accept, they'll see only the sections you enabled — with the access level you set.
Edit an existing collaborator
Go to Collaborators and tap the person you want to update.
You can change their role, adjust section permissions, or remove them from the event.
If the invitation is still pending, your changes apply as soon as they accept — you'll see a note reminding you of this in the edit modal.
Building your team as a planner
Event planners typically invite more people than anyone else. A common workflow: invite your lead assistant as Administrator so they can manage the team, add junior staff as Editors with permissions tailored to their tasks, invite vendors (florist, caterer, venue coordinator) with access only to the sections they need, and add the client as Reader so they can follow along.
If the client created the event and invited you, they'll manage the team — but you can suggest permission setups based on what you need to do your job.
Reuse permission patterns across events: once you find a setup that works for your assistant or a recurring vendor, apply the same configuration to your next event.
Who can invite and manage collaborators?
The event Owner can always invite, edit, and remove collaborators.
Administrators can do the same by default — they have full access to the Collaborators section.
Editors and Readers cannot invite or edit others unless you explicitly grant them Collaboration invitations permissions (Create and Edit).
Any collaborator can leave the team on their own from the Collaborators section, even if they don't have permission to see the full team list.
Tips when setting permissions
Changing the role resets suggested permissions. Review the checklist after switching roles.
Administrators always get full permissions — the checklist is read-only for them.
If you disable View for a section, all other actions for that section turn off automatically.
Enabling Create, Edit, or Delete automatically enables View for that section (except Event Configuration, which uses Edit only).
